General Terms & Conditions
1. Introduction
These Terms and Conditions represent a legally binding contract between Charm Nannies (the “Company”) and the client (the “Client”), covering the consulting service and the placement of the candidate (the “Candidate”). The Company specializes in placing nannies, maternity nurses, maternity nannies, governesses, tutors, housekeepers, domestic couples, butlers, chefs, house managers, estate managers, drivers, personal assistants, and providing consultancy services to families.

3. Acceptance of Terms
3.1. The Client acknowledges and agrees that the Candidate, once accepted by the Client, is employed by the Client and not by the Company. Any legal relationship which results is between the Client and the Candidate. The Company does not employ any of the Candidates directly or indirectly. Candidates are introduced to Clients and will always be employed by the Client, unless the Candidate is self-employed (this only applies to maternity nurses; a standard nanny cannot be self-employed). Candidates shall be under the supervision, direction, and control of the Client.
3.2. The Client, or the Client’s appointed agent, must complete the online Family Registration Form to be accepted as a client. If this is not possible, they need to sign the Terms and Conditions and return them to the Company before they are accepted and taken on our books. If registering online, filling the online registration form constitutes confirmation of acceptance of the Company’s Terms & Conditions.
3.3. The verbal or written instructions by the Client, or the Client’s appointed agent, to the Company to submit suitable Candidates for placement with the Client constitutes acceptance of these Company’s Terms and Conditions by the Client.
4. Confidentiality
4.1. Both the Company and the Client shall not, whether on their own behalf or in any capacity for any other person, firm, or company, use or disclose to anyone any information of a confidential nature relating to the other (or to any of the other’s associated companies) or to the other’s affairs or conduct of the other. Any information received by the Company will be treated confidentially and will remain the property of the Company. The Company agrees not to provide this information to third parties, other than any prospective Candidates.
5. Services
5.1.Charm Nannies is dedicated to offering a comprehensive range of childcare and household staffing solutions tailored to meet the unique needs of each family. Our services include the placement of highly qualified nannies, maternity nurses, governesses, tutors, housekeepers, domestic couples, butlers, chefs, house managers, estate managers, drivers, and personal assistants. We strive to match families with the best candidates who are not only skilled and experienced but also align with the family’s values and lifestyle. Our commitment to excellence ensures that every placement is handled with the utmost professionalism and care, providing peace of mind and exceptional support to our clients. The Company agrees to provide the Client with all relevant information concerning the Candidate and will check the Candidate’s details, documentation, and references.
6. Fees
6.1. The Company’s current scale of charges for the placement of a Candidate (Placement Fee) are as follows:
Initial Fee & Payment Details:
For all positions, an Initial Fee of £50 (fifty pounds) is required to initiate the search process. This fee must be paid at the outset to activate the search. Please note that the Initial Fee is non-refundable.
For Permanent Roles, the Initial Fee will be deducted from the total Placement Fee upon successful placement.
Payment Methods:
The Initial Fee will be processed through Stripe. A payment link will be sent to you via email.
The final Placement Fee (if applicable) must be paid by bank transfer. Bank transfer details will be provided via email following the successful placement.
Long term (52+ weeks):
- Full-Time Maternity Nanny – 14% of the annual salary
- Full-Time Nanny – 12% of the annual salary
- Full-Time Nanny/Housekeeper – 12% of the annual salary
- Full-Time Housekeeper -12% of the annual salary
- Part-time Nanny/Housekeeper -10% of the annual salary
- Part-Time Maternity Nanny – 18% of the annual salary
- Full-Time Governess – 18% of the annual salary
- Part-Time Governess – 20% of the annual salary
- Week-end Candidate – 20% of the annual salary
- Tutor – 22% of the annual salary
- Maternity Nurse/NCS – £180 per week – If hired for more than 8 weeks: 22% of the total salary
- Outside UK/EEA/EU -25% of the annual salary
- Within EEA/EU -20%
Short term (less than 52 weeks):
- Temporary Placement from 1 to 12 consecutive weeks – £100 per day (£160 during Christmas Holidays, except*)
- Temporary Placement from 13 to 51 consecutive weeks – 12% of the salary
- Trial – £550 per week (max. 4 consecutive weeks)
- *Christmas Day and New Year’s Eve Day – £500 each day
6.2. All fees are exclusive of VAT.
6.3. The Placement Fee becomes payable when a Candidate introduced by the Company accepts an offer by the Client.
6.4. Payment in full of the Placement Fee is required within seven days from the date of invoice.
7. Additional Fees
7.1. If the Client extends any placement of a Candidate, additional Placement Fees apply.
7.2. If the Client bypasses the Company to hire a Candidate, additional fees and penalties apply.
8. Cancellation of Booking
8.1. A cancellation fee applies if the Client withdraws an offer of engagement made to a Candidate.
Client Cancellations:
- Clients may cancel a booking by notifying Charm Nannies in writing via email to info@charmnannies.com.
- The cancellation will be considered effective on the date the written notification is received by Charm Nannies
- A cancellation fee will be applied based on the following schedule:
- More than 14 days prior to the scheduled booking: No cancellation fee.
- Between 14 days and 5 days (inclusive) prior to the scheduled booking: 20% of the total booking fee.
- Less than 5 days prior to the scheduled booking, or in the event of a no-show: 100% of the total booking fee.
Charm Nannies Cancellations:
- In the unlikely event that Charm Nannies needs to cancel a confirmed booking due to unforeseen circumstances (e.g., nanny illness, scheduling conflict), we will make every effort to provide at least 5 days’ notice and offer a replacement nanny with similar qualifications, if available.
- If a suitable replacement is not available, Charm Nannies will offer a full refund of the booking fee.
- Charm Nannies will not be responsible for any additional costs incurred by the client due to a booking cancellation by Charm Nannies.
Please Note:
- These cancellation terms may be subject to change. We recommend reviewing the most current version of our Terms and Conditions before booking any nanny services.
- In some cases, exceptional circumstances may be considered. Please contact Charm Nannies to discuss any extenuating circumstances that may affect your ability to cancel according to the above schedule.
9. Responsibilities of the Client
9.1. The Client is responsible for specifying their exact requirements .
9.2. The Client must notify the Company immediately when a Candidate has accepted employment.
10. Replacement
10.1. The Company will provide a replacement Candidate if the original Candidate cancels before the commencement date, subject to certain conditions, we guarantee that all our candidates are carefully selected to meet the highest standards of professionalism and reliability. However, we understand that sometimes a replacement may be necessary. Therefore, we offer a 12-week replacement guarantee. If you are not satisfied with your candidate within the first 12 weeks, we will provide a replacement at no additional cost.
11. Liability
11.1. The Company cannot be held responsible for any loss, damage, or inconvenience caused by the Candidate.
12. Governing Law
12.1. These Terms and Conditions are governed by and construed in accordance with the laws of the United Kingdom, and you irrevocably submit to the exclusive jurisdiction of the courts in that location
13. Changes to Terms
13.1. Charm Nannies reserves the right to revise these terms and conditions at any time. By using our services, you are expected to review these terms regularly.
